KLOXA · Inventory and warehouses
Buying and selling update your inventory.
From supplier to customer.
You record the supplier's invoice, and the goods are already in the warehouse. You sell, and they come off inventory; and if the customer returns them, they go back to exactly where they left from.

One box, from the start
From the apiary's invoice
to the count at month end.
This is how one box of honey moves through a neighborhood health food store - and nobody updates quantities by hand.
The apiary's invoice is recorded.
The jars are already in the warehouse.
You record the supplier's invoice and mark it as going into inventory, and the jars are in the warehouse. And you always see which invoice each jar came from.
Expenses and suppliers
Six jars went up to the shelf.
Both places are already updated.
You move stock from the back warehouse to the shelf, and both update in the same action. Asked for more than you have? Nothing moves, and the screen says exactly what's missing.
Services and products
The customer took two.
Inventory already went down.
The invoice goes out, and the jars come off the shop's inventory. And the cafe across the street that received 12 on a delivery note - when you issue it a consolidated invoice at the end of the month, they won't come off a second time.
Documents and invoices
Three left.
The alert came before it ran out.
You set for each item how little is too little, in each warehouse separately. And when an item drops below what you set, the alert reaches you for that item in that warehouse.
Reports and analysis
You count at month end.
And trust the result.
Whoever counts doesn't see how many there should be, so they record what's really on the shelf. What sold in the middle of the count isn't treated as a shortage, and all the differences update with one click.
Reports and analysis
In the system
Every item,
and its quantity in every warehouse.
How much is on the shelf, how much is in the warehouse, and where every unit came from.
Behind the number on the screen
What an evening count doesn't know.
Inventory already knows.
You always know where it came from
Every entry and exit is tied to the invoice, transfer or count that made it.
No double deduction
A consolidated invoice over delivery notes doesn't deduct again what was already deducted.
A return goes back to the right place
A customer returned something? The goods go back to the same warehouse, in exactly the quantity that left.
You don't sell what you don't have
A sale of something that isn't in stock is stopped, unless you've allowed it for the business or for the seller - and even then you can see that inventory went negative.
Weight, cartons and units
An item sold by weight is counted in kg, and full cartons and open units are counted separately.
Expiry doesn't surprise you
For products with a shelf life, you see the expiry date of every shipment, and what's about to expire soon.

What's the difference between inventory and the catalog?
The catalog is what you sell and for how much. Inventory is how much you have of each product and where. And both are in the same list.
Does the supplier's invoice put goods into inventory?
Yes, if you mark it when you record it. Every product you count in inventory goes into the warehouse, and you can set it to happen on every invoice.
Why doesn't whoever counts see how many there should be?
So they count what's really on the shelf, and don't just confirm what the screen says. The system works out the difference for them.
I made a mistake in an inventory update. Can I cancel it?
An update you made by hand - yes, with a reason, and the cancellation is recorded beside it. What came in or went out through an invoice is canceled through the invoice itself, so inventory and documents always match.
The quantity on the screen
is what's on the shelf.
