KLOXA · Calendar and appointments
The customer books from their phone.
Only in the time you opened for them.
The calendar knows when the business is open, who's working and what can run in parallel, and offers the customer only times the business allows. When the customer arrives the visit is logged, and if they have a punch card the balance updates too.

One appointment, from the start
From the night it was booked
to the patient walking into the room.
This is how one appointment goes at a physical therapy clinic - and what updates along the way without anyone having to remember.
His back ached in the evening.
The appointment was booked before bed.
Ron opens his phone and picks a treatment. He sees only times when the clinic is open, the therapist is working and the room is free - with enough time for the treatment and for the prep before and after it.
The app
After the assessment - a series.
The holiday awaits her decision.
At the end of the assessment session the therapist recommends eight treatments, and Ron buys a punch card from her. She books him the series, once a week, and sees all the dates, holidays and conflicts in advance. For a date that falls on a holiday she decides herself - the system doesn't skip it for her.
Services and products
The room was taken for an urgent treatment.
What you changed by hand isn't erased.
The therapist moves next Monday's session to 10:30, and then changes the time for the whole series. The session she moved stays where it is, and the screen tells her exactly what was updated and what wasn't.
Customers
Ron arrived.
Seven treatments left on the punch card.
Ron has already bought a punch card of eight treatments. When you mark that he arrived, one treatment is deducted from the balance. Marked by mistake? Undo it, and the treatment goes back to the punch card - with no double deduction.
Documents and invoices
The work schedule is set.
Customers see only who's working.
A therapist who doesn't work on Friday isn't offered to customers on Friday, and someone finishing work with you isn't offered after their date. And on the day itself you see in the calendar who has already arrived at work.
Attendance and work schedule
In the system
The whole day,
by room and by therapist.
Who's with whom, in which room and at what time - and when there's no room, it says exactly why.
Behind an open hour
What you used to have to check yourself.
The calendar already checked.
The customer sees only times that can be booked
Business hours, who's working, the room and the service steps decide what's offered. An overlap shows up for the customer only when the business defined it as allowed.
Prep time counts too
Cleaning and prep before and after the treatment don't get swallowed by the next appointment.
Someone who's finished isn't offered
An employee who finishes working with you isn't offered to customers after their date.
A holiday waits for your decision
A series that falls on a holiday isn't booked until you decide what to do about it.
What you changed by hand stays
A change to the whole series doesn't overwrite a session you moved separately, and the screen says how many were skipped.
Marked by mistake? The punch card comes back
Undoing "arrived" returns the treatment to the punch card, with the reason.
An appointment, workout, class or booking
Every kind of time.
In the same calendar.
From one-on-one to a group of twenty, in a room, at a station or on a court.
- A single appointment
- A group with a participant limit
- A recurring series
- Courses and classes
- Time blocking
- A calendar for each team member
- Rooms, stations and courts
- Prep time before and after
- A service at certain hours
- The customer books from their phone, or the business books for them
- Arrival marking
- The punch card updates only for those who bought one
- Who's at work now
- Controlled overlap in waiting steps
- A waitlist that gets a suitable time when one opens up
- Only what the business allows to be booked
Can the customer book on their own?
Yes. From the app or from a link in the browser, they see only the times the business opened for the service and pick one. The appointment goes into the calendar like one you booked yourself.
How does a group that repeats every week work?
You set the days and frequency and choose when it ends - on a date, after a number of sessions, or never. Before it's created you see all the dates, including holidays and conflicts.
Can I change one session without touching the whole series?
Yes. A session you moved stays in its new place, and a later change to the whole series skips it and tells you so.
I marked "arrived" for someone who didn't come. What happens to the punch card?
You undo the mark, and the treatment goes back to the punch card. You don't need to fix it separately, and there's no double deduction.
Will the system stop me from booking two people at the same time?
In a regular appointment it warns you before an overlap. In a service with waiting time, like color at a hair salon, you can define at which step the employee or station is free for another customer. The calendar suggests a suitable customer from the waitlist, and the approval stays with you.
A calendar that knows what's free.
Not just what's taken.
