KLOXA · Expenses and suppliers
Snap the invoice.
The rest falls into place.
A supplier invoice you approve puts the goods in the warehouse and the expense in the books, with the right VAT. When you pay, the system shows how much to withhold according to the supplier's certificate.

One receipt, from the start
From the coverall pocket
to the accountant.
This is how one invoice from a timber supplier moves through a small carpentry shop - and how much work it saves along the way.
A paper invoice.
One photo, and it's in.
The timber yard hands over a printed invoice, so you snap it and send it from your phone. A supplier who emails it ends up in the same expense list.
Files and media
No typing.
No duplicate invoice.
After you photograph the invoice or receive it at the business email, the system reads the supplier, amount, date and VAT. The expense waits for your review and approval, and an identical invoice won't go in twice.
Expenses and suppliers
You approved it in the evening.
The boards are already in stock.
One tap, and the expense sits in its category with the right VAT, and the boards are in the warehouse at what they cost you. No separate inventory update.
Inventory and warehouses
You pay the supplier.
No paying twice, no guessing the withholding.
On the supplier card you see what was billed and what's already paid. If the supplier's certificate says to withhold an amount from the payment, it's worked out in advance; and when the certificate is about to expire, you get an alert 60, 30 and 7 days before.
Bookkeeping and accounting
End of the month.
Your accountant isn't hunting for receipts.
The month's expenses reach your accountant in one package, by category and by supplier, each with its own photo. And you can see at any moment how much went to each supplier.
Reports and analysis
In the system
Every expense in one place.
Including what's not yet paid.
Which supplier, for what and how much - and what's still open for payment, before you send out more money.
Behind a supplier invoice
What your accountant would have asked.
The answer is already there.
You know how much is tax-recognized
Each type of expense has a set share that's recognized for income tax and a set share of VAT you can offset. Municipal property tax (arnona), for example, is recognized for tax but carries no VAT to offset.
What was recorded doesn't change
Changed a percentage? The change applies from now on, and expenses already recorded stay as they were.
Not every expense is an invoice
Parking or fuel paid in cash is easy to record, with no supplier and no document number.
You won't miss an expired withholding certificate
You get an alert before it expires, and if it has expired, the screen says so instead of guessing.
Approving a goods invoice updates inventory
Mark the invoice as goods for inventory, and the quantities go into the warehouse you chose, at what they cost.
Fix a mistake without deleting
An expense entered by mistake is canceled and entered again, and a record of what happened stays.
The other side of the money
What goes out of the business.
Reaches both the warehouse and the books.

How do supplier invoices get to me for approval?
You forward the invoice by email, or photograph a receipt and send it from your phone. You review and approve the details before they're recorded.
What if the same invoice arrived both as a photo and by email?
It goes in only once. An invoice you already have from the same supplier doesn't go in again.
What happens when a supplier's withholding tax certificate expires?
You get an alert 60, 30 and 7 days before. And if you pay after it has expired, the screen says there's no valid certificate - and the decision is yours.
What about old invoices in my mailbox?
You can connect your mailbox, and the invoices in it are collected too.
The next receipt.
One photo and you're done.
