The file is open to whoever treats.
Closed to everyone else.

What happened last time, what the patient signed and what you must not forget - in front of you before they walk in. And whoever is at reception sees none of it.

One clinic, one day

From the first call in the morning
to the receipt that goes out in the evening.

Every file keeps a history. KLOXA also makes sure that only the person treating sees it - not the person who just books appointments or issues receipts.

7:30 AM

The link reaches the phone.
The declaration is already signed.

The new patient receives a link, fills in and signs from the phone, and the questionnaire is already in their file before they leave home. If you set it that way, the appointment is confirmed only after the signature.

8:00 AM

The phone rings at reception.
The appointment is saved in the right room.

The secretary, or the therapist themselves in a business with no staff, books the appointment in a room and with a therapist who are free. There are never two patients in the same room at the same minute.

The right team, the right information

Before the patient walks in.
The right information is already in front of the therapist.

  • You decide who sees what

Whoever is at reception books appointments and issues receipts without seeing any medical information - even in a small clinic.

  • The medical note is kept separately

It doesn't sit next to the phone and the payments, and it opens only for the people you chose.

  • Sensitive information opens with approval from the phone

ID numbers and sensitive details are kept locked and shown only partially. To see them in full you need both access and approval from the phone.

  • Every opening stays on record

Who opened it, what they saw and when - written in plain language, and it can't be changed or deleted. If you're ever asked who accessed a patient's information, you have an answer.

  • The declaration is signed before they walk in

A health questionnaire or consent to treatment is signed from the phone before arrival. You can set the appointment to be confirmed only after a signature - no arguments at reception.

  • A treatment series you open once

Ten treatments every Tuesday are booked in one go, and you see all the dates in advance. A change applies only from that point on.

  • Ongoing support, not just a single treatment

Nutrition, emotional or rehabilitation support is sold as a subscription, and payment is charged by direct debit on the cycle you set. No "remind me to pay" call at the start of every month.

  • A tidy receipt at the end of the treatment

The receipt goes out at the end of the treatment and shows up for the patient in the conversation with the business and in KLOXA ONE. At the end of the month your accountant gets everything in one package.

  • A balance for a series sold in advance

A patient bought ten treatments? Marking the arrival deducts one treatment from the balance, and you see how many were used and how many are left.

  • Who dropped off mid-series

A patient who bought ten and came to four stands out. You open a conversation with them from the card before they give up - and that's good for them too.

  • The receipt goes out at the end of the session

From the phone, in front of the patient, and it shows up right away in the conversation with the business. You can also send it through another channel the business has set up.

  • Who owes, and for what

Every payment updates on the patient's card. No need to dig through receipts to see who hasn't paid for the series.

Calendar, patient file, declarations and receipts

The treatment at the center.
The information exactly where it belongs.

The calendar, the file, the declarations and the receipts are connected around the patient - and everyone on the team sees only what's theirs.

  • What was done in each treatment, when and with whom
  • Medical notes that are open only to the people you chose
  • A sensitivity or treatment instruction shows up before the session opens
  • ID numbers are kept locked and shown only partially
  • A place for anything you want to record, including information that must stay locked
  • A patient who hasn't come in 90 days is marked in color
  • You can set the appointment to be confirmed only after a signature
  • Build a form by dragging, or upload the form you already have
  • The patient signs by typing their name, and the signature is kept locked
  • A personal link that expires after a while, and you can cancel it right away
  • Exactly what the patient saw and signed is saved
  • A sensitive form opens only for the people you chose, and only with approval from the phone
  • All of today's rooms on one screen
  • Each treatment has its own duration, plus prep and cleanup time the calendar holds
  • A series is booked in one go, and you see all the dates in advance
  • A change to a treatment series applies going forward without changing the medical file
  • A treatment that falls on a holiday isn't booked without your approval
  • Cancellation and no-show rules for each type of treatment
  • The receipt goes out from the file without exposing treatment information
  • The patient sees the receipt in the conversation with the business right after payment

Before you start

Questions
that come up.

Contact us
Who on the team can see the medical information?

Only the people you choose. Whoever books appointments and issues receipts doesn't see the medical notes at all. And even when someone does open them, it's recorded and can't be deleted.

Can I require a signed health declaration before the appointment is confirmed?

Yes. You set the appointment to be confirmed only after a signed declaration. The patient receives a link, fills in and signs from the phone, and the declaration is in the file before they arrive - with nothing to install.

Can I book a series of ten treatments or sessions in one go?

Yes. You choose the days and frequency, and you see all the dates before you book. A treatment that falls on a holiday waits for your approval, and a change applies only from that point on.

How do I manage several rooms and several team members in the same calendar?

All the rooms appear side by side, and the patient sees only the hours the business opened for treatment. A regular appointment won't take a room or a therapist that is already busy; an overlap is possible only if the business has defined a stage where an additional patient can be received.

I have patients in ongoing monthly support - nutrition or emotional. How do I bill them?

You sell a subscription - weekly, monthly, quarterly or yearly - and payment is charged by direct debit on the cycle you set, with a receipt every time. For a series sold in advance, marking the arrival deducts one treatment from the balance. Both live in the same file.

Can the patient see any of this from their phone?

In the KLOXA ONE app they see what's theirs: the next treatment, what they signed and how many are left in the series. Your professional notes stay with you.

Can I move existing patients over without exposing their files?

You start with the patient details that can be moved safely. Then you map appointments, documents and clinical information separately, and decide in advance who is allowed to see each type of information.

Your words

A physical therapist says treatment.
A psychologist says session.

Therapists, doctors, dietitians, psychologists and nurses use different words, but all of them need a file that only the person treating can open. You choose the names of the treatments and team members that fit your clinic.
