KLOXA · Employee management
A new employee starts.
The paperwork is already signed.
Send them one link with Form 101 and the employment agreements, and they sign from the phone. Then you'll know what's still missing from the file, and when their pension is due - before they ask.

One employee, from the start
From the first day
to the last.
This is the path of one technician at a small air-conditioning installation company - from the link sent to him before his first day to his last day.
Yossi signed from his phone.
Only then was his file opened.
You send Yossi one link with Form 101 and the employment agreements - one form or five - and he fills them in and signs from his phone. Only after that is an employee file opened for him, with what he filled in and the signed forms inside.
Digital forms
A document missing?
You'll know before you close payroll.
You set once which documents every technician needs to bring. What Yossi hasn't brought yet is flagged in his file, and comes up in front of you before you close the payroll month.
Files and media
The office scheduled Yossi for the installation.
On a day he actually works.
Customer visits are set by the office, in Yossi's calendar - and the days he's not on the schedule are marked there, so no visit gets booked on a day off. Yossi arrives, clocks in and out from his phone, and sends requests from there.
Calendar and appointments
Yossi is eligible for a pension.
You know before he asks.
After six months, or three months for someone who had a previous pension - according to what Yossi filled in on the link before he started. The system uses the answer he gave and shows you an alert on time, even when eligibility applies from a date that has already passed. If you've marked that contributions are already being made for him, no unnecessary alert appears.
Payroll and pay slips
Yossi finished working.
No one will book him a visit by mistake.
You mark the end date and the reason, and his assignments from that day on come off the schedule. And if he comes back, you open a new period for him, and what was before stays as it was.
Attendance and scheduling
In the system
Your whole team,
and everything each person needs.
Role, terms and documents in one file - and next to each employee, what's missing and what's coming up.
Behind every employee
What you need to know about each employee.
Kept and organized.
What was agreed then - is kept
Changed the terms? What applied two years ago is kept, and old hours are checked against the terms of that time.
Form 101 in the right month
The accountant receives it with the month the employee started, even if the employee signed it on the link before that.
Bank details without typing
You scan a bank account confirmation, the details wait for your approval, and the document itself is kept protected.
No pile of versions
A new ID card replaces the old one, while contracts and certificates are kept over time.
Personal details are protected
ID numbers and bank details are shown partially, and open only with extra verification.
Seniority counted right
Someone who started on the 31st isn't counted as two months old on the 1st of the next month.
From the first day
Everything about your team.
And from there to the schedule, hours and payroll.
You fill it in once, and the schedule, hours and payroll already know.

Does the system tell me what to do about pensions?
It tells you it's time to deal with it, not what to decide. The decision and the advice stay with you and your insurance agent.
The employee already gets a pension from a previous job. What happens?
The employee states on the Form 101 they received whether they had an active pension. The system uses the answer they gave and shows the eligibility date accordingly. If you're already making regular contributions for them, you mark that and choose the fund - and you won't get an unnecessary alert.
What happens when an employee returns after a break?
You open a new employment period for them, and the previous one is kept as it was, with the reason it ended. Their whole history is there, even years back.
I'm switching from another system. What about the history?
You open a file with today's terms and the real start date, and upload the documents you already have. Seniority and rights are counted from the real date.
One employee file.
Not three.
