KLOXA · Documents and invoices
The invoice goes out.
Even when you forgot.
Set an amount and a billing cycle for a customer, and on each date the system issues the document you chose. VAT is calculated only on what actually came in, and approving a document updates inventory and the books - even before you started with full bookkeeping.

One document, from the start
From the quote to the accountant.
Every step moves something else.
This is how a month goes for one invoice - and what it moves along the way: in the conversation with the customer, in the warehouse, in collection and in the books.
The quote comes out of the conversation.
Not out of the evening at the office.
The customer is already on the card and the lines come from the catalog. You send it in the conversation with the customer, and the quote lands in it as a file - and the version you see in the preview, after you edited it, is exactly what's sent.
Customer card
The customer approved. The car is ready.
The invoice already moved the warehouse.
The approved quote becomes a work order. When the work is done and the car is handed over, the order becomes an invoice, and the link between them is kept. The moment it's issued, the invoice is written to the books with the customer on the line, and the products in it come out of the main warehouse with the document itself. If the customer returns part, the credit note puts back exactly what went out - into the same warehouse.
Inventory moves with the document
The recurring charge was issued
on the date you set.
You set a recurring charge once - weekly, monthly, quarterly or annual. On each date the document is issued and sent, without going over the customer list again.
Recurring charges
The second of three payments came in.
The invoice is only for it.
Work on a cash basis? The deal opens with a pro forma invoice, and for every payment that comes in you issue a tax invoice-receipt only for the amount paid. You don't report VAT on money you haven't seen yet.
Cash basis, without thinking about it
The binder stays closed.
Your accountant already has it.
All the month's documents join one package sent to your accountant once a month, together with the expenses and receipt photos, and a summary of pay and hours. And they're already entries in the books - so if they pull them into Hashavshevet or Rivhit, they get entries and not a pile of files.
Bookkeeping and accounting
In the system
Every document knows
if it's been paid.
A partial payment closes only what was paid. The balance stays in the open debts list, with the amount and the date it was due to come in.
What you won't find in invoicing software
A document doesn't end when it goes out.
It moves the whole business.
Delivery notes are collected into one invoice
A consolidated invoice gathers lines from several delivery notes, and each line is counted only once. You can't bill twice for what was already delivered.
Inventory moves with the document
An invoice and a delivery note take from the warehouse. A credit note puts back exactly what went out, into the same warehouse it came from.
A refund goes back to where it came from
You pick the original deal and the refund amount, and the money returns to the same card or the same transfer. The refund document is linked to the payment you chose.
Cash over the limit is flagged as you type
The screen shows how much cash is allowed for this deal, before you save. You don't find out in an audit.
A month reported for VAT is locked
You can't issue a document dated in a period that's already been reported. The screen says which period is locked and where to reopen it.
The document you approved is also in the books
Every document is recorded in the accounting sequence, even before you turned on full bookkeeping. When you start using it, or when your accountant moves the material to Hashavshevet, the history will already be there.
From software registered with the Israel Tax Authority
One document leads
to the next.
A price quote becomes an invoice, and a whole month of delivery notes is gathered into one consolidated invoice. The customer gets a link where they see the document and download it.

Do the documents really meet Tax Authority requirements?
Yes, from software registered with the Israel Tax Authority, registration certificate number 286401. And beyond that: a document that was issued doesn't change. Cancelling issues a numbered offsetting document, and the original stays as it was issued - in every report too.
A customer pays a lot in cash. How do I know how much is allowed?
The screen shows the cash amount allowed for this deal as you type - the lower of 10% of the deal and the cap in force on that day. The payment is recorded even if you exceeded it, and you know about it before you save.
I issued an invoice by mistake. Can I delete it?
No. Cancelling issues a numbered offsetting document - for a tax invoice-receipt, for example, both a credit note and a negative receipt - and the screen says exactly what will be issued and for what amount before you approve. The original stays as it was issued.
I have subscription customers. Do I have to issue each one by hand?
No. A subscription is a type of sale in the catalog, and its billing cycle - weekly, monthly, quarterly or annual - is set on it once. After setup the system issues a document on each set date, and you check who paid and who didn't.
I already use invoicing software. Why switch?
Because here the invoice doesn't end when it goes out: it takes from the warehouse, and a credit note puts back into the same warehouse; delivery notes are gathered into a consolidated invoice without billing a line twice; and it's written to the books with the customer on the line, even before you opened bookkeeping.
